How to use the Green Pallets app.
User Levels
There are no hard restrictions — your Company Admin can give any user any level of access. The levels below are recommendations based on what makes sense for each role.
Pallets tab only. Store staff typically just need to record what's arrived and what's gone out — they don't place orders or see invoices.
Pallets tab only. Drivers record what's loaded and dropped off at each stop. They don't need visibility of orders, pricing, or invoices.
Orders, Pallets, and Locations. DC managers run the operation — placing orders, managing stock levels, tracking locations. Invoice access is typically handled by accounts.
Finance tab only. Accounts staff need to see invoices and payment status, but don't need access to day-to-day operations.
Full access — Orders, Pallets, Locations, Finance, and Team management. Every company needs at least one Company Admin.
New users get Full Access by default. This suits small teams where everyone does a bit of everything. Assign a specific level once your team grows.
Managing Your Team
Company Admins have a Team tab in the app. It lists all users in your company with their current role.
Tap + Add User, enter their name, email, phone, and choose their role. Set an initial password — you can share this with them directly and they can change it from their profile.
Use the role dropdown on any user card to change their role. The change takes effect immediately — they'll see different tabs the next time they open the app.
Tap Deactivate on a user card to remove their access. You can reinstate them at any time.
Getting Started
Click Get a Quote on the Green Pallets website. Select the pallet types and quantities you need, then fill in your business details and submit.
You'll receive an email with your quote. Click the Activate button, choose a password, and you're straight into the app — no separate sign-up required.
Stock Count Reconciliation
If you think the system count for a location is out of sync with what's physically there, a DC Manager can request a store count to reconcile the two.
Open the location detail in the Locations tab and tap Request Count. The store staff at that location will receive an alert.
When a count is requested, it appears on your home screen under Stock Counts Needed. Tap Submit Count, enter the total number of pallets physically at your location, and submit.
Once submitted you'll receive an alert. Open the location to see the store's count vs the system count. If they match, tap Accept. If they don't, tap Request Recount — the store will be notified and shown what the system expected so they can check again.
Tapping Accept confirms the submitted count and closes the request. The system is updated to reflect what the store logged.
Placing Orders
From the Orders tab, select your pallet type and quantity, enter your delivery address, and add a PO reference if needed. Submit and your GP agent will confirm the delivery window.
Your previous order details are pre-filled, so repeat orders take seconds.
Tracking Stock
The Stock tab shows your current pallet balance across all your locations, updated in real time as deliveries and returns are processed.
Every delivery, return, and stock adjustment is logged with a timestamp so you always have a full audit trail.
Invoices
Your invoices appear in the Invoices tab as soon as they're issued. You'll receive a notification when a new invoice is ready.
When GP marks an invoice as paid, you'll receive a notification. The invoice status in the Finance tab updates to Paid at the same time.
